Lone Star Long Riders LLC ("we," "us," or "our") operates the Iron Butt Scoring App and its associated administrative, scoring, messaging, tracking, and rally-management services (collectively, the "Service").

This Privacy Policy explains what information the Service collects and processes, why that information is used, how it may be shared, and the choices available to users.

The Iron Butt Scoring App is designed for authorized participants and personnel involved in motorcycle rallies and similar events. Users do not create accounts directly through the App. Access is established by authorized rally administrators for approved riders and personnel.

Information We Collect

Identity and Rally Participation Information

We may process information provided by rally administrators or users that is necessary to identify and authorize participants and administer rallies, including:

Name
Email address
Rider number or other participant identifier
Rally enrollment and participation information
User role and authorized permissions
Authentication and verification information

The App uses a verification process to authenticate authorized users. Users do not create their own accounts through the App.

Rally Claims, Evidence and Scoring Information

The Service processes information necessary to administer and score rallies, which may include:

Bonus claims
Answers and rider notes
Submission sequence and revision information
Photographs
Video recordings where required or permitted
Audio recordings where required or permitted
Odometer information and photographs
Checkpoint information and evidence
Timer information
Capture and submission timestamps
Scoring decisions
Denial reasons
Review and secondary-review decisions
Corrections and resubmissions
Penalties or scoring adjustments
Final scoring results

Evidence and submissions may include metadata such as capture time, location, bonus identification, rider identification, and other information necessary to validate and score the submission.

Submitted evidence and scoring information may be retained as part of the official rally record.

Location Information

The Service may collect and process precise geographic location information when location-dependent functionality is enabled or used.

Location information may be used for:

Rally tracking
Bonus claims and evidence verification
Checkpoints
Timer events
Navigation and final-approach functions
Odometer or other rally records
Safety and rally administration
Verification of rally activity

Depending on the rally configuration, device permissions, and features being used, location collection may occur while the App is operating in the background.

Location information associated with rally submissions or evidence may be retained as part of the official rally record.

Rider Tracking and Maps

Some rallies may enable rider-tracking functionality.

When tracking is enabled, authorized rally personnel may use location information for rally administration, operational awareness, participant tracking, and safety-related purposes.

A rally may also provide a participant-facing or public rider map. Where such functionality is enabled, location information is displayed according to the applicable rally configuration. Publicly displayed rider locations may be delayed or otherwise limited rather than showing a rider's immediate real-time position.

Tracking functionality and its availability may vary by rally.

Camera, Photos, Video and Audio

The App may request access to the device camera, microphone, photo library, or media storage when necessary for rally evidence and related functionality.

Users may capture or select media for submission as rally evidence.

Where supported and enabled, the App may also save a copy of captured evidence to the user's device photo or media library. The copy maintained and submitted by the App remains the authoritative evidence used for rally scoring.

Messages and Communications

The Service may process messages and communications exchanged between riders and authorized rally personnel through App messaging functionality.

We may also process information necessary to send service-related communications, including authentication verification codes, rally messages, operational notifications, and push notifications.

We do not use these communications to send third-party advertising or unrelated marketing.

Offline Data

The Iron Butt Scoring App is designed to support operation in areas with limited or unavailable network connectivity.

Information necessary for rally participation may therefore be stored temporarily on the user's device, including rally information, bonus information, reference material, claims, evidence, and other data needed for offline operation.

Locally stored information may later be synchronized with the Service when network connectivity becomes available.

Technical and Diagnostic Information

We may process technical information necessary to operate, secure, maintain, and troubleshoot the Service, such as:

Device and operating-system information
App version
IP address
Request and server-log information
Error and diagnostic information
Authentication activity
Security-related information

We do not use the Iron Butt Scoring App for third-party behavioral advertising.

How We Use Information

We use information processed through the Service to:

Authenticate authorized users
Administer rallies
Provide rally information and bonus requirements
Receive and validate rally claims and evidence
Score and review rider submissions
Maintain scoring and revision histories
Operate checkpoints and timer functions

Communicate with riders and rally personnel

Service Providers

We use third-party service providers to operate portions of the Service.

These providers may process information only as necessary to provide their services to us.

Our infrastructure and service providers may include:

DigitalOcean — application hosting, database infrastructure, and private media/data storage.

Google Firebase — push-notification delivery and related mobile infrastructure.

We may also use service providers for transactional email delivery, such as delivery of authentication verification codes and operational communications.

Each provider handles information according to its applicable terms and privacy practices.

Sharing of Information

Information may be made available to authorized rally administrators, scorers, reviewers, checkpoint personnel, and other authorized staff when necessary to operate and administer the applicable rally.

We may also disclose information:

To service providers acting on our behalf
When required by law or valid legal process
When reasonably necessary to protect users, rally personnel, the public, or our rights
To investigate fraud, abuse, security incidents, or violations of applicable rules
In connection with a merger, acquisition, sale, or transfer of the Service or its assets

We do not sell users' personal information.

We do not use personal information collected through the Iron Butt Scoring App for third-party behavioral advertising.

Data Retention

We retain information for as long as reasonably necessary for the purposes for which it was collected, including:

Rally administration
Scoring and review
Maintenance of official rally records
Dispute resolution

Technical operation and troubleshooting

Different types of information may be retained for different periods.

Rally submissions, evidence, scoring decisions, revisions, and related administrative information may be retained as part of the historical or official record of a rally.

Users do not create or manage accounts directly through the Iron Butt Scoring App. Access is established by authorized rally administrators.

Disabling a permission may prevent App features that depend upon that permission from functioning.

A rally may also disable features such as rider tracking when they are not required for that event.

Children's Privacy

The Iron Butt Scoring App is intended for authorized participants and personnel associated with supported rallies and is not directed to children under 13.

We do not knowingly collect personal information from children under 13 through the Service.

If we become aware that personal information from a child under 13 has been collected contrary to this policy, we will take appropriate steps to address it.

International Processing

Our Service and service providers may process and store information in the United States or other jurisdictions in which our service providers operate.

Users accessing the Service from outside the United States acknowledge that their information may be transferred to and processed in jurisdictions whose data-protection laws may differ from those of their home jurisdiction.

We may update this Privacy Policy as the Iron Butt Scoring App, rally services, legal requirements, or our data practices change.
